Field Maintenance and Lining
Here are two contract estimates put forth by East Hants District Soccer Association (EHDSA) for upcoming year. These contracts may be awarded to one or two separate contractors as chosen by EHDSA. CONTRACT BIDS ARE TO BE RECIEVED BY APRIL 8, 2010. Please email to kerskine@ns,sympatico.ca or fax to 902 758-1488.
The breakdown of fields into the two contracts was deemed necessary due to the lapses in field maintenance in the past seasons. (Mostly due to weather – rain for several days). Making it almost impossible for the contractor to complete his/her field maintenance in time for play that week.
Equipment failure or breakage; unable to be repaired in time for proper maintenance or; unable to rent or obtain replacement equipment in time for proper field maintenance.
The potential for smaller work load to catch up may lead to timely field maintenance
Some schools may not mow their fields often enough for play or practice during the end of May and the month of June, necessitating the need for additional cutting during that time. (This will be an extra on top of the contract price)
Times to mow and hours to mow per field are estimates only by EHDSA

School fields to be lined the last week of May and the month of June.
If we are awarded a provincial championship (we are bidding for the U 14 girls tournament) for the first weekend in September, an additional 4 full fields will need to be prepared in advance of the tournament. (Please add price for this tournament on the quote)
Please price each contract separately.
Note: HERH. If major renovations are done on this field contract times maybe changed or deleted if necessary.
Contract Outline
1. The contact will commence on May 1, 2010 and terminate on September 1, 2010. If further maintenance of the fields is required, a flat rate/field will be established between the contractor and EHDSA.
2. Playing schedules will be obtained and a maintenance schedule will be drawn up weekly to ensure maintenance is performed before use of field.
3. The contract will include the following as normal field maintenance.
a. Setup of proper FIFA regulation soccer pitches. (Some field dimensions are slightly different than others). This includes squaring and alignment of net frames where possible. Nets will be provided by EHDSA.
b. Maintaining proper playing surface grass height so as to ensure consistent playing surfaces both in short and long term. This entails the cutting of grass at the locations listed above, but not the use of fertilizer products. Any grass clippings will be removed from the playing surface to ensure no disruption of play will occur.
c. Maintaining proper surface dimensions by application of turf-safe paint. The maintenance of these lines is paramount. Paint supplied by contractor.
d. Minor maintenance to full sized goals and mini nets, including minor net hole repair and net to frame attachment. No major repairs to full size frames of nets will be performed.
e. Re-gluing of the net frames in mini nets and the addition of a coupling to repair simple broken pipes on mini nets is required.
f. On fields that high level teams are representing the club, technical areas will be outlined with paint.
g. Maintaining a playing surface free of garbage. Removal of minor items from the field will be included; however garbage bins will not be removed.
4. The weekly maintenance will be conducted and supervised in astringent manner to ensure only the highest quality of results. We will work with the designated EHDSA representative to ensure any field maintenance issues are resolved in a timely fashion.
5. Tournaments falling within the contact timeline will be included in the regular setup and maintenance schedule.
6. The coordination of major repairs to fields, transportation of nets and other major undertakings can be assessed as they arise with EHDSA.
7. Safe working practices will be undertaken by the contractor at all times.
8. Workers Compensation is the responsibility of the contractor.
9. All machinery, equipment and related expenses will be the responsibility of the contractor.
